The Role
We are seeking a reliable and detail-oriented Accounting Virtual Assistant with strong Accounts Payable experience to join our team remotely. This role requires solid bookkeeping skills, proficiency in QuickBooks, and the ability to manage vendor payments, reconciliations, and reporting efficiently.
Key Responsibilities :
- Receive and verify vendor invoices, ensuring accuracy and proper authorization.
- Code invoices in accordance with the company’s chart of accounts and input data into the accounting system.
- Maintain vendor records and resolve invoice discrepancies or payment issues in coordination with suppliers.
- Prepare, process, and reconcile payments to vendors and suppliers.
- Reconcile vendor statements and ensure all payable accounts are current.
- Assist in month-end and year-end closing procedures and generate reports related to accounts payable.
- Maintain the AP system and support improvements and enhancements to increase efficiency.
- Ensure compliance with the company’s financial policies and obligations related to vendor payments.
- Prepare cash flow reports and plan resource allocation for upcoming vendor and financier obligations.
- Support special projects such as process improvement initiatives or system implementations.
- Conduct audits of purchase orders and credit notes using Sellercloud and suppliers' backend systems.
- Reconcile any discrepancies with suppliers and document findings through reports.
- Provide daily reports to the Finance Director regarding credit cards, including balances, credit limits, and closing dates.
Ideal Profile
Requirements :
2–5 years of progressive experience in Accounts Payable.QuickBooks experience is a must.Strong understanding of accounting principles and accounts payable processes.Experience using accounting / ERP systems (Sellercloud knowledge is a plus).Excellent organizational and time management skills.High attention to detail and problem-solving abilities.Strong communication skills and ability to liaise effectively with vendors and internal teams.Ability to work independently and as part of a team.What's on Offer?
